What Does a Personal Assistant Do?

A personal assistant manages, coordinates, and oversees administrative and personal tasks on behalf of their employer to maximize productivity and free time for strategic priorities. They handle scheduling, communications, travel arrangements, and errands while maintaining discretion with confidential matters.

Personal assistants serve as the trusted right hand to busy professionals, acting as gatekeepers who filter priorities and ensure nothing falls through the cracks. They work across both professional and personal spheres, managing everything from business meetings and expense reports to household errands and event planning. Their role requires a 24/7 mentality and flexibility to adapt to changing circumstances, often working irregular hours including evenings, weekends, and during travel.

Personal assistants need exceptional organizational abilities, strong communication skills, and proficiency with office technology and scheduling software. They must exercise sound judgment, think proactively, and possess emotional intelligence to navigate relationships with staff, clients, and stakeholders. The most successful personal assistants combine technical competence with personal attributes like adaptability, resourcefulness, and a selfless attitude focused on their employer's needs.

What Are the Responsibilities of a Personal Assistant?

The responsibilities of a personal assistant are managing calendars and schedules, coordinating travel logistics, handling communications, and providing comprehensive administrative support.

Personal assistant duties include screening phone calls and emails, preparing documents and presentations, maintaining filing systems, conducting research, and organizing meetings with detailed agendas and minutes. They also manage expense tracking, coordinate with vendors and service providers, plan events, and handle personal errands ranging from shopping to household management. The scope varies significantly based on the employer's needs, with some personal assistants also supporting family coordination, property oversight, or even deputizing for their employer in their absence.

Understanding these diverse responsibilities helps hiring managers ask relevant interview questions to identify personal assistants who can anticipate needs, prioritize effectively, and maintain the high level of discretion and professionalism required to excel in this multifaceted role.
