Responsibilities

  • Answer phones, take messages, and direct calls appropriately throughout the day
  • Schedule appointments, meetings, court depositions, hearings, and other legal proceedings
  • Manage and maintain attorney calendars, coordinating schedules across multiple parties
  • Communicate with clients in person, over the phone, and via email to provide updates and gather information
  • Draft, proofread, and file legal documents such as pleadings, motions, letters of intent, contracts, and correspondence
  • Organize and maintain legal documents, case files, and internal records both electronically and physically
  • Conduct legal research using law libraries, online databases, and other reference sources to gather case-relevant information
  • Obtain affidavits, medical records, employment records, and other formal statements for use as evidence
  • Assist with trial preparation by handling exhibits, assembling witness binders, creating appendices, and taking notes during proceedings
  • Coordinate the collection, review, and production of documents and respond to discovery requests
  • Summarize deposition and trial transcripts and prepare statistics, charts, and graphs to detail findings
  • Mail, fax, or email court documents to clients, witnesses, court officials, and opposing counsel
  • Make travel arrangements including booking transportation and accommodations for attorneys
  • Process vendor invoices and assist with accounting, billing, and payment management
  • Greet clients and manage the intake process to ensure a positive first impression
  • Screen, direct, and prioritize incoming communications to appropriate attorneys

Required Skills & Qualifications

  • Associate's degree or higher in paralegal studies, criminal justice, legal studies, or related field
  • Strong understanding of legal terminology, procedures, and court filing requirements
  • Exceptional written and verbal communication skills with strong command of English grammar
  • Typing speed of 50-80 words per minute with high degree of accuracy
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software applications
  • Excellent organizational skills with ability to manage multiple tasks, cases, and deadlines simultaneously
  • Strong attention to detail and precision in document preparation and filing
  • Ability to maintain strict confidentiality and exercise sound judgment in handling sensitive information
  • Strong interpersonal skills and ability to work effectively as part of a team
  • Ability to work independently with minimal supervision in a fast-paced environment

Preferred Skills & Qualifications

  • Bachelor's degree in criminal justice, paralegal studies, or related field
  • Certification as a Certified Legal Assistant (CLA), Accredited Legal Professional (ALP), or Certified Legal Professional (CLP/PLS)
  • 1-3 years of experience working in a law firm or legal environment
  • Experience in specialized legal areas such as real estate law, litigation, corporate law, or family law
  • Knowledge of online court filing systems such as Teraview or e-filing platforms
  • Experience using case management software, billing software, and legal research databases
  • Familiarity with e-Discovery processes and cloud computing technologies
  • Experience using dictation and transcription software
  • Fluency in a second language
  • Experience working with multiple attorneys simultaneously
  • Knowledge of emerging legal technologies and artificial intelligence tools
