Responsibilities

  • Coordinate complex travel arrangements including flights, accommodations, transportation, visas, and detailed itineraries
  • Screen and prioritize incoming calls, emails, and correspondence, responding independently when appropriate
  • Prepare and edit documents, presentations, reports, agendas, and meeting materials with accuracy and professionalism
  • Organize and coordinate meetings including board meetings, stakeholder meetings, and internal team sessions
  • Take detailed meeting minutes, track action items, and follow up on deliverables to ensure completion
  • Process expense reports, invoices, and financial documents in accordance with company policies
  • Manage office supplies inventory and coordinate with vendors for procurement needs
  • Greet and screen visitors, determining appropriate access to executives
  • Maintain organized filing systems for both physical and electronic documents
  • Research and compile information to support executive decision-making and special projects
  • Coordinate internal and external events including team-building activities, conferences, and corporate functions
  • Act as a liaison between executives and employees, clients, stakeholders, and external partners
  • Monitor project deadlines and provide status updates to keep initiatives on track
  • Handle confidential information with the highest level of discretion and professionalism

Required Skills & Qualifications

  • Minimum 3-5 years of experience as an Executive Assistant supporting C-level executives or senior management
  • Bachelor's degree or equivalent professional experience
  • Advanced proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
  • Exceptional written and verbal communication skills with ability to interact professionally at all organizational levels
  • Strong organizational and time management abilities with capacity to prioritize multiple tasks simultaneously
  • Proven ability to handle confidential and sensitive information with discretion
  • Excellent problem-solving skills and ability to exercise sound judgment in diverse situations
  • Demonstrated attention to detail and accuracy in all work products
  • Ability to work independently with minimal supervision and take initiative
  • Flexibility to adapt to changing priorities and work outside regular business hours when needed
  • Strong interpersonal skills with ability to build relationships across the organization
