  • Handle incoming and outgoing mail, faxes, and email correspondence
  • Prepare documents, memos, letters, reports, presentations, and correspondence
  • Maintain and organize filing systems, both digital and paper, and manage databases
  • Perform data entry and ensure accuracy in records and documentation
  • Order office supplies, manage inventory, and research new deals and suppliers
  • Coordinate travel arrangements including booking flights, hotels, cars, and restaurant reservations
  • Process invoices, receipts, expense reports, and assist with basic bookkeeping tasks
  • Plan meetings, arrange staff meetings and events, and take detailed minutes
  • Maintain contact lists and manage office equipment including computers, printers, copy machines, and fax machines
  • Update and maintain office policies and procedures
  • Provide general support to staff members and act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Required Skills & Qualifications

  • High school diploma or equivalent required
  • Proven experience as an administrative assistant, office assistant, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills with the ability to multitask
  • Attention to detail and accuracy in all work
  • Strong typing and data entry abilities
  • Ability to work independently and as part of a team
